Make the corrections to the specifications and check them. Run a copy of the corrections and give the copy to the engineer to look over.

Ask him to return it to you if any revisions, are needed. After the Engineer gives you his approval, stamp the title books with the Engineer's seal and have him sign.

Make about 6 - 8 copies of the bid books, unless the Engineer expects that we will need more books than that. Sometimes on Big Projects, we will have more Contractors interested in a project than on smaller projects. Write the number of copies that we made on a post-it and put it on the left-hand side of the bid file.

Pick a color for your covers. See what folder colors are currently being used (jobs that are on the shelf). Try to use a different color than what is already being used. If there aren't any colors that aren't being used, use a color that should be coming off of the shelf soon.

Inside the Master's File on the left-hand side of the file and in the Bid File on the top of the Plans & Specifications Issued Form, write the color of the covers.

Check with the Engineer as to when we should request the "Wage Determination Sheets".

  • Stamp the front covers of the bid books with both of the Engineer's seals.
  • Stamp the title page with the Engineer's seal and have him sign.
  • Number the bid books in the bottom right-hand corner of the cover.
  • Make a copy of the "Note To Bidders" form and an extra copy of the bid proposal.

This should be added to the plans and specifications before they are mailed out. These need to be stapled together and put inside the front cover of the specifications.
