The Day Before The Bid Opening

The following two (2) things should be prepared before the Engineer goes to the Bid Opening:

  1. The Bid Tabulation
  2. The Notice of Award

The Bid Tabulation#

Look in the bid file and make a list of all bidders. At the top, list the client's name, the job name, the job number, the bid opening date and the bid opening time. List the Contractor's names alphabetically. List the name of the Contractor and their Address.

It is very important that the bid tab items be typed exactly li~e the bid proposal. Since the Certificate of Responsibility & the Bid Security are on the proposal, they must also be listed on the bid tab. Ask the Engineer how many copies of the Bid Tab he wants to take with him to the Bid Opening. (12 - minimum) Put the bid tabs in a Legal Manila File Folder (labeled "Bid Tabs and Bid Proposals") and put the manila folder inside the Bid File.

The Notice of Award#

The following items on the Notice of Award should be completed:

  1. The Date of the Bid Opening
  2. The Amount of the Bid
  3. The title of the person who will be executing the Notice of Award

The Engineer may want to take the Notice of Award to the Bid Opening to beexecuted. It may or may not be signed at the Bid Opening. The Original executed Notice of Award should be put in the Masters.
