Reminder For The Certificate Of Insurance
Mark your desk calendar with the job number, the name of the contractor and the type of insurance that is expiring.
Put a reminder 30 days before the actual expiration date and put another reminder on the actual date of the insurance expiration to check and make sure we have received a renewal certificate. Send a letter 30 days before the insurance certificate expires as a reminder for the Contractor to send us a renewal certificate on the project. SEE FORM LETTER SECTION (Page 84). Check the Contract for the number of counterparts. We will need that many copies of the renewal certificate.
If the certificates have not be received by the expiration date, give them one (1) week to process the renewal.
If we don't have the renewals within 10 days after the expiration date, send the Contractor another letter stating that the insurance certificate have expired. SEE FORM LETTER SECTION (Page 85). Renewal certificates should only be sent to people that have received a Contract.
When we receive the insurance certificates, we should distribute them.

Remember that the Surety is the same person that bonds the Contractor.
