Incoming Mail#
Ask Marietta if there are any errands that need to be run while the mail is being picked up. (Sometimes we will have a bank deposit or a bill to drop off.)
Daily at 9:20 A.M., Go to the Post Office and get mail.
Sort through the mail and stamp RECEIVED with today's date on it. (Be sure to change the date on the stamp.)
Give all mail to Mr. Davis; try to have the mail on his desk at least by 10:00 AM.
Outgoing Mail#
It is a good idea to do all mail at one time. This way you will be using your time most effectively.
· Daily at 4:30 P.M., pick up everyone's mail.
Check to see if there is any mail in the box in the Conference Room.
Change date on the Postage Meter Machine.
Weight mail (FIRST CLASS). Be sure to change money amount.
For dollar amount, DO "=" TWICE.
To seal letters, feed letters through the bottom slot. For no moistening, feed letters through the middle slot. On large items we must run a tape. To do this, feed the tape through the top slot. Check all mail to be sure letters are sealed.
When finished, turn both switches on the postage machine off and turn off the weight machine also.
Sort mail into Clarksdale and out of town; mail at boxes at the corner.
We purchase postage through Pitney-Bowes. Follow the instructions in the book to purchase postage by phone.
Try to have the mail at the box by 4:50 P.M.
How To Mail Item Certified#
You will need the following items:
- The Firm Mailing Book;
- A Green Certified Slip; and
- A Green/White Certified Label.
Enter the following information in the Mailing Book:
- The Item #
- Who The Package Was Mailed To
- The Address Of The Person That The Package Was Mailed To
- Description of What Was Sent.
Fill out the certified card. Put it on the package. Make sure that our address is stamped on the back of the certified card.
Put the Postage on the package here if it is under 4 pounds.
POSTAGE+ $2.65
- ($1.40 - Certified Fee and $1.25 - Return Receipt Fee)
Take the package to the Post Office along with the Mailing Book. Have the clerk at the counter stamp the page on the Mailing Book that the information about the package has been entered.
